# Follow-ups and quote expiry

Winning work · Web app · 1 min read · updated August 13, 2026

**Switch follow-ups on and unanswered quotes get a nudge after the number of days you choose plus a warning before they expire — each sent at most once, and never after the customer has answered.**

Most quotes are not lost. They are forgotten — by a customer who meant to reply,
on a day that got away from them. Follow-ups are the part of the job nobody has
time to do by hand.

## What gets sent

Switch follow-ups on and two things happen on their own:

- **A nudge**, after the number of days you choose, to a customer who has not
  answered.
- **A warning** before the quote expires, so "I was going to say yes" does not
arrive the week after the price stopped being valid.

Three rules keep this from becoming nagging:

1. **Each is sent at most once.** Not once a week until somebody cracks.
2. **Neither is ever sent after the customer has answered** — accepted, declined
   or asked a question.
3. **Nothing is sent outside quiet hours** where the follow-up goes by text. See
   [Text messages and consent](/docs/text-messages-and-consent).

If you would rather write the nudge yourself, a plan with
[AI assists](/docs/ai-assists) will draft a personalised follow-up for you to
edit — the link and the subject line stay put.

## Expiry

Quotes expire on your schedule — thirty days by default, set in
[Settings](/docs/setting-up-your-company). An expired quote can no longer be
accepted online, which is the whole reason it exists: a price you gave in
February should not be binding in October.

Expiring quotes surface in two places before they lapse:

- The **needs-attention list** on the dashboard shows quotes expiring within the
  week.
- The quotes list has an **Expiring soon** filter of its own.

Both are covered in
[The dashboard and reports](/docs/the-dashboard-and-reports).

## Knowing what actually went out

Every email and every text the system sends is logged with its outcome — see
[Exporting your data](/docs/exporting-your-data) — so "did that follow-up
actually send?" has an answer rather than a shrug.
