Payment options on invoices

Web and mobile4 min readUpdated
Owners can display business destinations for existing manual payment methods. Staff must verify receipt and use Record payment.
Availability: Use the web settings once this release is available in your environment. Mobile access also requires an app version that includes invoice payment options.
Choose what customers see
As an owner, open Settings → Payment methods → Show payment options on invoices on the web or in the mobile app. Add any missing method to your usual payment-method list first. Existing methods start with Show on invoices off. Your internal methods and payment history remain available.
For each method you want to show:
- Turn on Show on invoices and select Venmo, Cash App, PayPal, Zelle, or Custom.
- Enter the recipient's display name and your actual HTTPS business payment link. For Custom, also confirm the exact business hostname. For Zelle, enter the recipient details supplied by your bank; you may attach a bank-issued PNG QR image, up to 100 KB.
- Add short instructions if needed. Use Move up and Move down to put the options in order, inspect the Customer preview, then save.
Use only public payment destinations, never login links, private portal links, API keys or other credentials. Names and instructions are plain text. If a save fails, your edits stay in the form. If another owner has saved meanwhile, reload and review the current settings before trying again.
Company defaults and locations
Choose Company defaults for the company's destinations. The editor lists the active locations that inherit those defaults, so you can see the impact before saving. On Business, each location can choose:
| Choice | What customers see |
|---|---|
| Inherit company defaults | The current company options. Later company changes apply. |
| Use these options | Only that location's configured options, even if the list is empty. |
| Hide all manual options | No manual options; company defaults never fill the gap. |
If your plan stops including multiple locations, saved Use these options settings pause and those locations use the company defaults. Hide all manual options still applies, and archived locations remain blocked. Saved location options return if your plan includes multiple locations again.
The location stored on the invoice determines its destinations. Switching your own working location or moving a customer does not change that invoice's location. Older invoices with no location use company defaults. Archived locations cannot offer these payment destinations. Hiding manual options does not disable an otherwise eligible Stripe checkout.
The customer pays; staff verify
The invoice email and PDF point to the hosted invoice. Its Payment options panel displays the current destinations and lets the customer copy the remaining amount, currency and invoice number. Share that invoice, rather than copying a provider destination into an email or PDF that could become outdated.
An external link does not fill the amount or invoice number for the customer. They must confirm the recipient, amount and currency in the provider's app or website, and include the invoice number where supported. A reusable link may already contain a fixed amount or currency that does not match this invoice. Check the preview carefully. Provider eligibility and account requirements still apply; accountless checkout is not promised.
Opening a link, returning to the invoice, or telling you “I paid” does not mark it paid. Check receipt in your business account, then use the existing Record payment action and the correct method. The ledger determines the balance. Do not ask the customer to pay a second time while you verify receipt.
Partially paid invoices show the remaining balance. Paid invoices, void invoices, credit memos, and invoices with a card charge pending do not offer these manual options. Clicking a link rechecks the invoice and current destination; staff verification remains necessary for transfers outside the app.
Provider details and scope
- Venmo: use your actual business-profile link. Venmo describes direct and QR payments in its business-profile guidance.
- Cash App: use your business's actual shared
cash.app/$…link. See Cash App's explanation of $cashtags. - PayPal: use an actual PayPal.Me or supported PayPal business-payment link. PayPal.Me links can include an amount and currency; see PayPal's official FAQ.
- Zelle: use enrolled recipient instructions or a QR exported by your bank. Blasto Clean does not invent a universal Zelle payment URL. QR availability depends on the bank; see Zelle's QR guidance.
This feature covers regular visit invoices and manually written invoices on Starter and above. Location choices require Business. Free's existing payment recording and job payment capabilities stay the same. Monthly consolidated invoice allocation is outside this release, including visits billed through a consolidated month. No new payment gateway is connected by these settings.
