Set up to three color rules so you can read the schedule at a glance: by town, frequency, visit type, team, first visit or your own tags. Filter the schedule and the day map by color.

When the schedule is full, colors help you see the day at a glance: which visits are in which town, which are deep cleans, which customers are new. Calendar colors are available on Starter, Pro and Business.

Set up your colors

  1. Open Settings, then Advanced, then Calendar links.
  2. In Calendar colors, select Add rule. You can add up to three.
  3. Choose what the rule colors by: City or town, Frequency, Visit type, Team, First visit or Tag.
  4. Select Add value for each one you want to color. Enter the Value (for example "Springfield"), a Label, and pick a Color. For First visit, the value is filled in for you, so just add a label and color. For Team, pick the team from the list instead of typing a value.
  5. Use Move rule up and Move rule down to set the order.
  6. Select Save colors.

Color by team

Choose Team in step 3 and every visit takes the color saved on its team, on the Schedule and on the day map. You do not have to add each team by hand. Set each team's color once, as Team color in Saved teams.

To use a different color for one team, select Add value, pick the team from the list, and choose a color. That color wins over the team's saved color for your calendar and map. Teams you leave out keep their saved color. A team with no saved color is not colored until you add it here or give it a Team color.

The first rule fills the visit with its color. The second and third rules add small labeled dots, so a visit can show its town color plus a New dot and a visit type dot at the same time. The owner sets the colors, and every office user sees them.

Colors are hidden from crew unless you tick Show colors to crew. Even then, crew see only the values you added colors for. Other towns, teams, tags and details stay visible to the office only.

Read and filter

The same colors appear on the Schedule and on the day map. Open Color legend and filters to see what each color means and to show only visits with one value, such as one town. Visits in a town you have not set up are grouped under Unassigned towns.

First visit marks a customer's earliest visit that is booked or done. Canceled and missed visits do not count, so once the first clean is completed, later visits are not marked new.

Tag visits

Open a visit and use Visit tags to add your own labels, separated by commas, such as "keys", "VIP" or "post-construction". Select Save tags. Tags are for your team; they do not change prices, crews or times.

Good to know

  • Filters apply to the dates the schedule has loaded. If the schedule says there are more visits than it can show, narrow the dates first.
  • If someone else saved colors at the same time, select Reload colors and try again.
  • Colors never change the schedule or send anything to customers.

On the phone and clearing a filter

In native versions with calendar colors, open Settings → Calendar colors. The owner manages the rules; the schedule and day map use the same saved colors. On the web schedule, an active color is shown while the legend is closed. Clear filters clears color, person and flexible-team filters together. Color choices change what you see, not the bookings themselves.
