Create saved teams such as "Team A" or "Night crew", assign the whole team to a visit or schedule in one step, and set which team each client usually gets. Available on Starter, Pro and Business.

Most cleaning businesses send the same people out together. A saved team lets you assign them in one step, and lets each client keep the team they know. Saved teams are available on Starter, Pro and Business.

Create a team

  1. Open Settings, then Employees & Teams on the web.
  2. In Teams, select Create team.
  3. Enter the Team name, choose the members, and optionally pick a Team lead and a Team color.
  4. Select Save team.

A team can have one person, and a person can be on several teams. Each team belongs to one location. The owner manages saved teams.

Team colors on the calendar and map

The Team color you pick shows on the Schedule and the day map once you turn on coloring by team. Open Calendar and map colors, add a rule, and choose Team. Every team with a Team color then uses it. A team without one is not colored until you give it a color. To change the color for one team there, pick it from the team list in that rule.

Assign a team

When you book a visit or a recurring schedule, saved teams appear first in the people picker. Choose a team and its members are filled in. Select Clear saved team to pick people one by one instead.

For a one-time substitute, change the people on that visit. If the visit is part of a repeating schedule, choose This visit only when asked; All future visits changes the schedule's crew instead. The visit keeps its team name, and BlastoClean records who actually went.

Set a client's usual team

On the customer's page, choose a Recurring team. New schedules for that customer start with that team. You can still pick a different team for any schedule.

Tick Flexible about team when a client is happy with any crew. This is a note for your schedulers; it does not move visits on its own. On the Schedule, tick Flexible about team to show only those clients' visits, so you know which ones are easiest to rearrange.

After a client's first completed clean, the visit may ask Keep this team if the client has no usual team yet. Confirming saves it.

Change a team

Edit the team and change its members. Tick Update future visits for this team to give visits that have not started the new members. Visits with a substitute or work already started keep their crew. Leave it unticked to change only new bookings. If a new member is already busy or unavailable during one of those visits, BlastoClean shows the conflict and does not save the change until you sort it out.

Select Archive when you no longer need a team. Past visits keep its name.

Open spots and saved teams

When a canceled time is offered to other customers, you can choose who hears about it. In Settings, then Fill open spots, set Saved team eligibility:

  • Same saved team or exact crew, the default, offers the time only to clients served by the same team, or by exactly the same people when the visit has no saved team. If the canceled visit had no team and nobody assigned, it goes to every eligible client.
  • All saved teams and crews offers it to every eligible client.

Offers go by email on every paid plan. On Pro and Business they can also go by text to customers who agreed to texts. See Cancellations.

See also Offer an assigned visit, Shift swaps, which can approve swaps between members of the same team automatically, and Crews and availability.

On the phone and after a loading error

In the mobile app, the owner opens Settings → Teams and selects Create team or Edit. Choose active people assigned to the current location. Employee accounts are created separately in Employees.

On either client, use Retry if teams or members fail to load. A loading failure does not mean a team has no members. The app keeps an open team draft while you retry a read. If the account or location changes, reopen the editor in the new location.
