Quick Quote and Magic Quote walkthroughs

Quick Quote turns one free-form paragraph and adaptive follow-ups into a complete draft; Magic Quote is the separate on-site walkthrough with photos, video, voice notes and traceable evidence.

  • Quick Quote is the text-only option for a property you can already describe. Type one loose paragraph, work through prioritized gaps and complete the required Room Check. Quick Quote is available on Starter, Pro and Business — not Free.
  • Magic Quote is the on-site walkthrough for the property in front of you. Walk it with photos, short video, voice notes and typed lines, then review every finding beside its evidence. Magic Quote is available on Pro and Business.

Both finish in the same quote editor, use AI credits and are priced entirely by your configured room and task library. Quick Quote has no photo, video or audio analysis; a Magic Quote walkthrough reads each capture separately and is the heavier route. Actual usage appears in Settings → AI.

Where to find them

In the web app, both start from the same place as every other quote: Quotes → New quote. That page opens on a choice between the three ways to make a quote — Magic Quote, Quick Quote and Build it yourself — and only offers the ones your plan and AI settings allow. An owner sees the others greyed out with the reason and a link to fix it; everybody else simply sees what they can use, and when that is one thing there is no choice to make. The page remembers the way you chose last, so a cleaner who always walks and an office that always types each land on their own.

There is no separate Magic Quote menu in the web app. The walkthroughs your company has walked are under Quotes, on the Walkthroughs tab beside the quotes themselves — that is where a walk is resumed, opened for review, or deleted.

In the phone app the layout is its own: the Quotes tab has a Magic Quote button in its top corner, which is both where a walkthrough starts and where past ones are listed, and New quote on the same tab offers Quick Quote and the editor. See Quoting from your phone.

Quick Quote: describe it in one paragraph

Open a new quote and choose Quick Quote. Type the facts in the order they come to you:

2.5 baths, 4 bedrooms, about 3,000 sq ft, very clean, weekly cleans.

Shorthand is fine. You can paste what the customer texted, use your device's dictation when available, or include priorities, exclusions and anything else the customer mentioned. The structured pass shows the total size, bedroom and bathroom counts, named rooms, condition and frequency. Other details remain visible in the review notes instead of silently changing scope or price.

Follow-ups are a coverage check, not another form

Quick Quote ranks missing information by what could change the scope or price, then presents a short, prioritized batch:

  • Likely rooms: kitchen, living or family room, dining room, laundry or mudroom, basement and garage for a home; reception, restrooms, offices, break room and storage for a workplace.
  • Cadence and condition: one-time, weekly, every two weeks or monthly; light, average, heavy or extreme condition.
  • Required configured measurements: the actual per-room area or fixture count when a selected task in your library needs one.
  • Review notes: pets, access, special surfaces, add-ons and other unusual details stay visible for a person to apply; Quick Quote does not invent work or pricing from them.

Choose several room suggestions in one tap, or type a correction for a missing, wrong or excluded room. Excluded rooms remain visible and unpriced. Facts already captured in the opening paragraph reduce repeated questions.

Room suggestions appear in Room Check for confirmation, and unresolved assumptions returned by the check stay visible. The server blocks Generate quote until the required Room Check is complete. Review the coverage or add the sunroom, workshop or second kitchen that may be missing. The assistant proposes the shape of the job. Your own list decides which rooms and tasks are allowed, and the same math as a hand-built quote decides every minute and cent.

Quick Quote never takes or accepts photos. Start a separate Magic Quote walkthrough when visual evidence would help.

Magic Quote walkthrough: starting one

In the web app, open Quotes → New quote and choose Magic Quote; in the phone app, tap Magic Quote on the Quotes tab. Pick the customer and property if they are already on file — or don't: a walkthrough is the one way to start that needs neither, and the button says which of the two is about to happen. Press Start walkthrough and you are on the capture screen. On a phone with no signal the walk starts anyway, saved on the device, and is sent when you are back in range.

Magic Quote walkthrough: capturing

There are four things you can capture, and no form:

  • Photos — through the system camera you already know how to use.
  • Video — short clips, for the things a still will not show.
  • Voice notes — talk while you walk. What you said comes back as text beside the recording: which room you are in, what the customer asked for, what they said to skip, how long you reckon the shower will take. "Two dogs, lots of hair" is information, and it is kept.
  • Typed lines — for when talking would be awkward.

Three properties of the capture matter more than they sound:

An open walkthrough keeps working with no cell signal and no Wi-Fi. In a basement, a back bedroom, a dead spot in the hall or airplane mode, keep capturing and the app catches up when the connection returns.

Closing the app has one current limit. Pending photos, voice notes and typed notes stay saved when you close and reopen the app, then resume uploading without creating duplicates. A short video that has not finished uploading is not restored after the app closes, so leave the walkthrough open until that upload finishes.

You can start with nobody on file. Knocking on a door is an ordinary way to get work, and a doorstep is the worst place to make somebody fill in a customer form. Start the walkthrough with no customer at all; the walk itself proposes the record afterwards — a name somebody said, a number they read out, the address on the mailbox — and the review screen shows that as an editable form beside a search of the customers you already have. Nothing is written to your customer list until a person presses the button.

Reviewing and the missing-room check

Review comes before price in both products. Quick Quote reviews the parsed property and room coverage. A Magic Quote walkthrough also shows:

  • A timeline of every photo, clip and recording in the order you took it, with what was said written out beside it. When Magic Quote says the customer asked for the oven, you can tap through to the second of the recording where they said it.
  • A readiness score, and the findings it is least sure about, put in front of you before they can affect a price. Confirm one, remove it, or fix the wording. Nothing you rejected gets quoted.
  • Changes of mind, as changes of mind. "We don't need the refrigerator" at 10:05 and "actually, let's do the refrigerator" at 10:23 is one customer changing their mind, not two contradictory notes. Both are shown and you say which stands.
  • A split between what the customer sees and what your crew sees. Your honest note about the state of the master shower stays internal; the customer's quote says the shower needs extra detail on the first visit.

The third line of that summary is the feature earning its keep: "The refrigerator interior was first excluded at customer request and then reinstated later in the walk — the later position stands and should be confirmed." Two sentences said twenty minutes apart, read as one person changing their mind, and put in front of somebody to confirm rather than quietly picked.

Every Quick Quote and every Magic Quote walkthrough opened in the current app must pass the same blocking missing-room validation before generation. Room Check compares the proposed rooms with the property facts and configured library, keeps unresolved coverage visible, and refuses to generate until the required check is complete. Exclude a room that is present but out of scope, or add the missing room, then try again.

If you open a Magic Quote review before the walkthrough has finished being organized, it tells you which half of the work is still running and counts the wait down, rather than showing you an empty page that reads like "the walk found nothing". A pass that failed says why, above the button that retries it.

Pricing, and who decides

The draft is priced by your own room and task library, your hourly rate and your multipliers — the same math as every other quote. AI may structure and suggest; it never writes a price. Magic Quote can suggest a range beside your number, but it can never be the number. From there it is an ordinary quote: see Building a quote and Pricing a quote.

You can also talk to the walkthrough afterwards: "Make the first clean $325." "Take 10% off." "Did she mention windows?" Questions are answered with the capture they are drawn from, and edits go through a fixed set of instructions rather than free rein.

What happens to the photos and recordings

They are of the inside of somebody's home or business, and they are treated that way. They are never public, they are never given a URL that would work without a session, and you choose how long they are kept — thirty days, ninety, a year, or as long as the customer is a customer.
